General rules

  • Keep the original certificate or letter and a clear scan or photo of it.
  • The document should show your name, the activity, the date or period and the issuing authority.
  • Name each file so you can recognise it later, for example 2026-27 guest lecture – GAU seminar.
  • Attach each document to the single entry it supports.

Teaching and related activities (Category I-A)

  • Timetable or workload statement signed by the head of department (contact hours).
  • Copies or links of teaching material and videos developed.
  • Examination duty orders and completion letters.
  • Appointment letters for coordinator and in-charge roles.
  • Invitation or certificate for each guest lecture.
  • Result sheets or award letters for student guidance outcomes.

Research, extension and administration (Category I-B, C, D)

  • Sanction letters and completion reports of research projects.
  • Release or notification letters for varieties and technologies.
  • Patent filing or grant documents.
  • Programme schedules, attendance and reports for demonstrations, trainings and fairs.
  • Orders constituting committees and certificates of duties performed.

Professional development and publications (Category II and III)

  • Membership certificates for societies and associations.
  • Participation or organiser certificates for training, refresher and orientation programmes.
  • First page and publication details of each paper, plus journal information.
  • Book and chapter title pages with publisher details.
  • Award letters, medals and citations.
  • Guidance certificates and consultancy agreements.

Keeping it organised with CAS Manager

Upload each proof against its entry (PDF, images, Word and Excel files up to 25 MB each). The Documents screen lists every proof, shows entries that still have none, and lets you search by title or activity. At export time you choose which documents go into the PDF and in what order.
